    Notarized Documents for Use within Mainland China

    Notarized documents are issued by attesting officers commissioned by the Chinese Ministry of Justice and must be sent to the “China Legal Services (H.K.) Limited” for approval. 

    Documents attested by attesting officers can generally be divided into five categories: declarations, legal documents signed unilaterally, certificates of legal facts, certificates of originals and copies of documents or legal documents signed by two or more parties.

     

    Common documents include:

    - Personal Power of Attorney
    - Company Power of Attorney (Authorization) Letters
    - Proof of the Information (Status) of Company
    - Proof of Board Resolution of Company
    - Various Declarations, etc.
     

    Processing Time:

    - Generally requires 5-7 days.
    - If the content is simple and meets standard specifications, it can be completed in as fast as 3 days.

  • Notarized documents for use in other countries/regions:

    Notarized documents are issued by notary public. According to the requirements of the local authorities where the notarized documents will be used, the procedures are mainly divided into three types:

    • Apostille 

    - After the notarized documents are issued by notary public, the High Court of Hong Kong     issues the Apostille.
    - Applicable Regions: Most major countries or regions that have joined the Hague Convention, including many in the Americas and Europe.
    - Processing Time: Relatively fast and convenient, completed in as fast as 3 days.

    Legalisation

    - After the notarized documents are issued by notary public, they are additionally signed/authenticated by the consulate of the relevant country in Hong Kong.
    - Applicable Regions: Countries or regions not signatories to the Hague Convention, mainly including Malaysia, Thailand, United Arab Emirates (UAE), etc.
    - Processing Time: Requirements and procedures are more complicated.

    No Legalisation Required

    - For institutions that require, only the signature witnessed by a notary public or the notarized documents are needed.
    - Common Region: Singapore, which relatively accepts the recognition of notaries without requiring additional authentication.
    - Processing Time: Can be processed the same day.
